Stores & Dispatch Manager

Job Purpose

The Stores & Dispatch Manager is responsible for the efficient management of warehouse inventory, dispatch operations, and export logistics. The role ensures accurate stock control, timely order fulfillment, and proper coordination between stores, production, sales, and logistics while maintaining system integrity within SAP.

Key Responsibilities

1. Inventory & Stores Management

• Oversee daily warehouse operations including receiving, storage, and issuance of finished goods.
• Ensure proper stock organization and adherence to warehouse layout and safety standards.
• Conduct and supervise weekly stock counts and cycle counts to ensure accuracy of inventory records.
• Investigate and resolve stock discrepancies and implement corrective actions where necessary.
• Maintain proper documentation and system records for all inventory movements.

2. SAP System Management

Responsible for maintaining accurate stock data within SAP.

Backorder Management

• • Monitor and follow up on customer backorders in SAP.
  • Coordinate with production and sales teams to ensure timely fulfillment of outstanding orders.
  • Update delivery schedules and communicate delays where necessary.

Stock Control

• • Supervise and validate stock counts within SAP and ensure reconciliation with physical inventory.
  • Monitor inventory levels and flag slow-moving, obsolete, or insufficient stock.

Stock Transfers

• • Review and approve stock transfer requests between warehouses or storage locations within SAP.
  • Ensure transfers are properly documented and executed to maintain system accuracy.

Returned Goods

• • Review and approve returned goods transactions in SAP.
  • Ensure returned items are correctly inspected, categorized, and processed (e.g., resale, rework, scrap).

3. Dispatch Operations

• • Oversee the loading and dispatch of delivery vehicles to ensure orders are complete, accurate, and dispatched on time.
  • Verify that vehicles are properly loaded according to delivery documentation.
  • Ensure dispatch documentation such as delivery notes, invoices, and transport records are accurate.
  • Monitor dispatch schedules and coordinate with transport teams to avoid delays.
• Communication with sales team & customers regarding delivery schedules.

4. Export Logistics

• • Supervise export order loading and shipment preparation.
  • Coordinate with logistics providers and internal teams to ensure timely export processing.
  • Track export shipments and follow up to ensure successful delivery to customers.

5. Team Management

• • Supervise warehouse and dispatch staff including storekeepers, loaders, and dispatch personnel.
  • Allocate daily tasks and ensure efficient workflow within the warehouse.
  • Provide training and guidance on warehouse procedures, safety practices, and SAP processes.
